The Xakia O365 Add-In integrates with several Document Management Systems (DMS) to streamline email filing and matter management. Here’s an overview of supported platforms and available features.


Supported DMS Platforms & Features

Xakia DMS

  • Supports email filing and all Xakia features.

SharePoint

  • Supports email filing and all Xakia features.

NetDocuments

  • Supports all Xakia functionality, including linking matters to NetDocuments on creation.

  • Does not support email filing

iManage

  • Supports all Xakia functionality, including linking matters to iManage on creation.

  • Does not support email filing

Feature Availability & DMS Selection

  • If the selected DMS does not support email filing, all filing actions are disabled.

  • If the only available DMS does not support email filing, filing actions are unavailable and related pages cannot be accessed.

    • The matter list will be the home page instead of the email details screen

  • When multiple DMS platforms are available, the selected DMS defaults to an integrated DMS (not Xakia DMS) as we expect this is the user preference.

  • If both supported and unsupported DMS platforms are available (e.g., Xakia + NetDocuments), auto mailbox enrolment is disabled. Mailbox enrolment instead only occurs when an email is manually filed.

    • In this scenario we expect users to not file emails and not use Xakia DMS, despite it being active

  • Users can change the selected DMS from the menu, under the current location sub-menu.

    • Unsupported DMS are not available in the menu for selection

User Experience Notes

  • The add-in automatically adapts its interface and available actions based on the selected DMS and its capabilities.

  • Filing actions and navigation are restricted if email filing is not supported by the chosen DMS.

  • The DMS selection menu is accessible from the header, allowing users to switch between available platforms as needed.
