Xakia O365 Outlook Add-In and DMS Integration

Which document management systems the Xakia Outlook Add-in supports (Xakia DMS, SharePoint, NetDocuments, iManage), and which ones support email filing.

The Xakia O365 Outlook Add-in works with several document management systems (DMS) for email filing and matter management. Here's what each one supports.


Supported DMS Platforms & Features

Supported platforms

  • Xakia DMS: email filing and all Xakia features

  • SharePoint: email filing and all Xakia features

  • NetDocuments: all Xakia features, including linking matters to NetDocuments when you create them. Doesn't support email filing.

  • iManage: all Xakia features, including linking matters to iManage when you create them. Doesn't support email filing.


How DMS selection affects filing

  • If your selected DMS doesn't support email filing, filing actions are turned off.

  • If the only DMS available doesn't support email filing, filing actions are unavailable and the related pages can't be opened. The matter list becomes your home screen instead of the email details screen.

  • When more than one DMS is available, the Add-in defaults to an integrated DMS rather than Xakia DMS, since that's usually the preference.

  • If both supported and unsupported DMS platforms are available (for example, Xakia plus NetDocuments), automatic mailbox enrollment is turned off. Enrollment then happens only when you file an email manually. In this setup, we expect you'll file to the integrated DMS rather than Xakia DMS, even though Xakia DMS is active.

  • You can change your selected DMS from the menu, under the current location sub-menu. Unsupported DMS platforms don't appear in the menu.


Good to know

The Add-in adapts its interface and available actions to your selected DMS. Filing and navigation are restricted when the chosen DMS doesn't support email filing, and you can switch platforms any time from the DMS menu in the header.
