Timeline Dashboard

Use the Timeline Dashboard to see how matters flow into and out of your team

Over a chosen period see how matters flow within your team. The dashboard shows what was open at the start of the period, what was received and completed during it, and where you have ended up — alongside a full set of trend, breakdown and completion-time charts.

The Timeline Dashboard is designed for understanding workload trends and team throughput. It complements the All Matters Dashboard, which gives a point-in-time view of your current open matters.

Navigate to the Timeline Dashboard

To open the Timeline Dashboard:

  1. Click Analytics in the top navigation menu.

  2. Select Dashboards from the drop-down menu.

  3. Select Timeline.

You can also switch to the Timeline Dashboard from any other dashboard using the dashboard dropdown selector in the sidebar.

Set the time period

All charts on the Timeline Dashboard reflect a single time period. Adjust it from the top of the dashboard or from the filter panel.

  • Time period preset — choose from presets such as Prior 12 Months, Prior 90 days, This year, etc.

  • Date range display — the selected start and end dates are shown alongside the preset, e.g. 30 Apr 2025 – 30 Apr 2026.

Analysis dimension panel

The panel on the left of the dashboard breaks your matters down by a chosen Analysis dimension. Use the dropdown at the top of the panel to switch between dimensions, including:

  • Business Unit

  • Business Unit / Department

  • Category

  • Category / Sub-Category

  • Complexity

  • Group

  • Matter Manager

  • Priority

The panel renders one card for each value in the selected Analysis dimension (for example, one card per Business Unit, or one card per Priority band). For the chosen time period each card shows:

  • Matters received and the percentage change versus the prior period.

  • Change in open matters during the period.

  • Matters completed in the period.

Filter the dashboard by clicking a card

Click any card to filter the entire dashboard to that value. The card is highlighted and a chip showing the active filter appears at the top of the panel. The header KPIs and every chart on the dashboard recontextualise to reflect only the matters in that segment.

To clear the filter, click the highlighted card again or click the X on the active filter chip.

View the underlying matters

Click View List on any card to open a detailed list of the matters in that segment, including Matter Number, Matter Name, Status, Date Received, Category, Matter Manager and other key fields. Use the More links above each column group to expand additional fields.

Additional filtering

In addition to clicking cards in the Analysis dimension panel, use the filter icon in the left toolbar for time period and dashboard-wide filter settings.

  • Select time period — change the period the dashboard is reporting on.

  • Add / remove dashboard filters — choose which filter dimensions appear, including Category / Sub-Category, Division / Sub-Division, Group, Matter Manager, Priority, Size and Status.

  • Settings tab — adjust dashboard display settings.

Note: The Timeline Dashboard supports the same comprehensive filtering system as the All Matters Dashboard, so you can slice your timeline view by any of these fields. Filters set here apply on top of any segment selected in the Analysis dimension panel.

Charts

All charts are displayed in a single scrollable view — there is no need to switch between them. Scroll the right-hand side of the dashboard to browse the full set.

Matter Inflow/Outflow

A waterfall chart showing how your open matter count moved through the period:

  • Open at the start of the period.

  • Matters received in the period.

  • Matters completed in the period.

  • Open at the end of the period.

Stacks within each bar are split by Priority, using the central colour scheme so each priority always appears in its assigned colour.

Xakia Quadrant — Strategy vs. Complexity

A quadrant chart that plots three key states for the period:

  • Open at Start — the average position of matters open at the start of the period.

  • Open at End — the average position of matters open at the end of the period.

  • Received and Completed — the average position of matters received and completed during the period.

Bubble size represents matter count. Use the Focus Field selector to narrow in on a particular value (e.g. a specific Division) and see how that subset compares.

Division — Breakdown (pie chart comparison)

Two paired donut charts compare the share of open matters at the start of the period and at the end of the period. Above the charts, the dashboard highlights:

  • Biggest Increase in Total Share — the entity that has grown the most as a percentage of open matters.

  • Biggest Decrease in Total Share — the entity that has shrunk the most.

Click any segment to see the percentage change in total share for that entity. Use the dropdown to switch the breakdown between Division, Category, Group or other available fields.

Matters received and completed

A breakdown chart showing matters received and completed during the period for the selected dimension. The header surfaces:

  • Highest Completion Ratio — the entity completing the highest proportion of matters received.

  • Most Matters Received — the entity with the highest received count.

  • Most Matters Completed — the entity completing the most matters.

Trend charts

Three monthly trend charts give you a longitudinal view across the period:

  • Matters Received in Period — monthly received counts with a 3-month rolling average overlay.

  • Matters Completed in Period — monthly completion counts with a 3-month rolling average overlay.

  • Net change — matters received minus matters completed each month, indicating whether your open caseload is growing or shrinking.

Active in Period

A line chart showing the total number of active matters in your team across the period. Useful for spotting steady growth, plateaus or sharp drops in your overall caseload.

Current Status and On-Time Completion

A stacked bar chart showing the current status of matters received in each month — for example, how many remain open, how many were completed on time, and how many were completed late.

Matter Completion Table

A table summarising how many matters received in each month are still open or were completed in a given number of weekdays (e.g. 0–5, 6–10, 11–15, … 101+). This makes it easy to spot ageing matters and compare cycle times across months.

Resetting and exporting

Use the toolbar on the left of the dashboard to manage your view:

  • Download (PDF) — export the dashboard as a PDF for sharing.

  • Reset — clear all filters and selections and return the dashboard to its default view.

  • Filter — open the filter panel.

Tip: Your filter and time period preferences are sticky — Xakia remembers your selections so the dashboard opens with the same view next time.
