Entity Management Permissions

Access to Entity Management is controlled per user by a Location Admin. Each user can be granted one of three access levels, with optional additional settings for viewing confidential information.

Prerequisites

  • Location Admin role — required to configure permissions.

Navigate to permissions

Go to Admin > Users & Security > Users. Find the user and select Edit. Open the Basic Access tab.

Entity Access levels

  • Edit — create, view, and edit all Corporate Entity and Individual records.

  • View — read-only access to all Entity Management records.

  • None — no access to Entity Management. The Entities menu item is not visible.

Confidential Access

When Entity Access is set to Edit or View, two additional options appear. These are independent of each other:

  • Confidential Fields — the user can see the values of confidential fields on Individual records (Unique Identifier 1, Unique Identifier 2, and Date of Birth). Without this, those fields display as Confidential.

  • Confidential Documents — the user can see documents marked as confidential. Without this, confidential documents are not visible.

Note: Confidential Fields and Confidential Documents are independent. Granting one does not automatically grant the other.

Saving changes

Select Save after updating permissions. Changes take effect immediately.
