Step 1: Open the creation form
1. Select Add New from the top right of any Entity Management screen.
2. Select New company. The form expands below.
Step 2: Choose Corporate Entity or Party
A toggle at the top of the form lets you select Corporate Entity or Party:
Corporate Entity — the company is part of your corporate family and hierarchy. Data is stored globally and shared across all Xakia locations.
Party — the company is external to your corporate family. Data is stored at the location level.
Note: Use Corporate Entity for subsidiaries and group companies. Use Party for external investors or third parties you need to reference — for example, as a shareholder. See Entities and Parties in Entity Management for full details.
Step 3: Check for an existing entity
The Legal Entity Name field includes a search. Type the company name to check for existing records before creating a new one, to avoid duplicates.
Step 4: Complete the form
Complete the Company Details: Legal Entity Name (required), Tax Identifier, Company Identifier, Entity Status, Entity Type, Prior Legal Names, Incorporation Date, and registered address. If your organization has Internal Details fields configured, these appear below.
Step 5: Save
Select Save. The Corporate Entity record opens immediately. You can now add appointments, shareholders, key dates, and documents.
