Using the Xakia Search Functions

Get right to the info you need with Global Search and Matter Search

Find information with precision using Global Search and Matter Search - two powerhouse tools to scan and filter all your system data effortlessly!


Using Global Search

The Global Search function matches your search term against all system data without case sensitivity. To access it, click the magnifying glass icon in the top navigation bar.

Search Features

  • Contains In: The search will match entries that contain your search term anywhere in the text.

    • Example: Searching “Jane” will return all matters where "Jane" is present in supported fields

    • Example: Searching “Smith” returns results with “Joe Smith” or “Jane Smith”\

  • Exact Match with Spaces: Adding a space before or after your term (e.g., " ice ") will isolate the word and return only specific results like "ice cream" but not "advice"

Supported Search Fields Include:

  • Matter Name

  • Matter Description

  • Matter Manager

  • Status Notes

  • Task Name

  • Task Detail

  • Key Date Name

  • Key Date Detail

  • Document Filename

  • Document Description

  • Matter Number

  • Contract title

  • Contract description

Refining Your Global Search

To refine search results, apply filters before or after hitting search. Filters include:

  • General Filters: All, Matters, Tasks, Key Dates, Documents

  • Refine Search: Click this to access advanced filters like Department, Category, Group, Priority, etc.

Searching for Matters

The Matter Search function focuses on matters specifically, offering a “filter by keyword” option to restrict searches solely to matter fields. When no filters are applied the keyword will be matched to all relevant matter data.

Top Tip! As you type in the search bar, relevant matters will appear immediately.

Narrowing your Matter Search

Using Filters

You can narrow your search by applying filters. This lets you search within a specific department, matter manager, or anything from our list of filters!

Top Tip! You can search within a filter list dropdown by typing the first letter!

Eg: If you want to filter through Jane Smith’s matters click the Manager filter and type 'J', this will jump to the 'J' section of the list, when you find her you can hit enter or space to apply the filter.

Don’t forget you can customize your filters through the 'Actions' button. Select 'Edit Columns', and ensure your filter is checked.

Using Information

The more information in a matter the easier it is to find!

Adding details to your matters—like entities, parties, regulators/agencies, and hashtags—makes them easier to locate in future searches.

Note: Throughout Xakia, searching is done only using exact matches on the search text (disregarding case). If you search for multiple words, Xakia does not treat each word as a separate keyword, but rather Xakia treats your search as if you were searching for a single phrase, and will only show results that contain that phrase exactly.

For example, if you search for the phrase "quick brown fox", Xakia will only return results that contain an exact match for the entire phrase (disregarding case). If a matter description describes a "quick fox" or a "brown fox", neither will match the search criteria - a result is only shown if it has content that contains the exact phrase "quick brown fox".
