Xakia's integration with Microsoft SharePoint Online can help you manage files in a streamlined and intuitive way.

Xakia's integration with SharePoint Online creates a seamless connection between Xakia matters and SharePoint Online folders.

This integration minimizes manual efforts and supports a more cohesive and efficient workflow. It streamlines searching for metadata and creates a tidy and organized online workspace that enables you and your team to work on the more important things.


Document Storage

When you create a new matter in Xakia, a new folder will also be created in SharePoint Online. All data contained in the matter will be stored in this folder and will be accessible from Xakia.

When your matters are sent to SharePoint Online, the data will follow the rules you've created in the Admin page's 'Folder Placement' tab. These rules will send the data to a specified location within SharePoint.

You can push documents that your Internal Client uploads through legal intake into the SharePoint location.

Note! Documents uploaded in Xakia cannot be pushed to a third-party DMS like SharePoint unless they are coming through Legal Intake. This separation is for security reasons and to avoid duplication.

File Emails from Outlook to SharePoint

If you are set up with the Outlook Add-in, you can save emails and documents straight to SharePoint Online. This enables you to search for email metadata within SharePoint Online.

Folder Placement Rules

Folder Placement rules enable you to customize the way matter information is organized when it's filed into SharePoint. Once you've set them up, you'll always know exactly where your matters are!

Confidential Matter Rules

Non-confidential matters in Xakia will create folders in SharePoint Online that inherit permissions from the parent object. Xakia does not apply any further permissions to the folder for these matters.

Confidential matters in Xakia will create folders in SharePoint Online with unique permissions. Role inheritance will be broken for these matters. Xakia will explicitly assign roles for the Matter Manager and any Team Members from the Xakia matter to the SharePoint Online folder.

Confidential matters also have a special SharePoint Online group assigned to them, which allows any users with 'All Matters including Confidential' access to the confidential folders in SharePoint Online.

Automated Matter Updates

Any updates made to that matter will be instantaneously applied to the data in SharePoint Online, ensuring that both versions of the matter are synced and up to date.

A refresh will resync the data if you don't see the change immediately.

This includes updating any access changes to Confidential matters. If a new team member is added to a Confidential matter in Xakia, then the permissions will be updated in SharePoint Online to reflect this change.

This also applies to changes made within SharePoint. Any team member added to or removed from a Confidential folder in SharePoint Online will also have their permissions altered in Xakia.

Field Mapping

Xakia's field mapping feature allows you to search for Xakia matter metadata within SharePoint Online. It also allows you to customize how your matters are filed.
