Here are some useful tips and tricks to help you get the most out of AutoDocs.
Formatting variables to comply with legal norms
You can set the formatting of variables placed in your template to comply with legal norms using the font options in the AutoDocs Editor. A simple example of this is that it is common for party names in execution blocks to be in ALL CAPS - if you have a party name variable, select it in your template, right click and select the font option - then select 'All Caps'.
Formatting variables for easy identification
If you are using AutoDocs to pre-fill a document that the Legal Department will then finalise, you may wish to make it clear what information has been inserted by AutoDocs. This is as simple as using some formatting in your template, such as [square brackets], colors or highlighting to make this obvious.
Including a 'tracking tags' in documents created
An AutoDocs Variable called "Number" is available in the AutoDocs Editor for all AutoDocs, and this variable will place the legal intake request number created by Xakia into the template. By placing this discreetly in the document, you will create a simple mechanism to reference that document back to the original request at any future point in time.
You can also include other tracking tags such as the name of the requester (ContactName) or the legal request name (RequestType). If you do not wish these to be visible in the document, try changing the font color to white, which in most documents will make them invisible unless you know where to look for it and change the font color back!
Leave instructions in documents coming to the Legal Department
Although AutoDocs does not have "if this, then that" variable placement capability, if you have conditional aspects of your document, you can still use AutoDocs to make the document finalization process simpler and more efficient.
For example, you may have different governing law clauses depending on the entity within your organization that is a party to a contract. While AutoDocs will not allow you to place different governing law clauses depending on your internal client's entity selection, you could consider leaving instructions in the document for the reviewer such as:
Governing Law: [If Internal Clients's entity selection is "ABC, Inc.": Delaware, United States of America][If Internal Clients's entity selection is "ABC Limited.": England & Wales]
[Internal Client entity selection: {INSERT AUTODOCS VARIABLE HERE}]
Again, text formatting can be used to distinguish between instructions to the Legal Department and Internal Client responses.
This approach, while not achieving full automation of the document, may allow the document to be finalized by a less senior team member than would otherwise have been required, or more quickly.
