Xakia allows you to capture 4 key qualitative metrics about matters:
- Size (XS, S, M, L, XL)
- Risk or Priority (Low, Medium, High, Critical)
- Complexity (0 to 10)
- Strategy (0 to 10)
Capturing these metrics is critical to understanding whether you're focussed on the right work and demonstrating value delivery - however it can be difficult to ensure that everyone takes a consistent approach to these items.
To assist with this, admins can set baseline metrics that will automatically be applied to a matter based on the Category or Sub-Category of a matter. These are intended to simply provide the user creating the matter with a starting point - they are then able to adjust each of these metrics to reflect the specifics of the matter they are creating.
Note: If your Location was created after 10 September 2023, Xakia's default Categories will already have default baselines set.
Setting or editing baselines
To set or edit baselines for Size, Risk, Complexity and Strategy, you need to be an admin in the relevant location and take the following steps:
- navigate to Admin > General Settings > Categories
- navigate to the relevant Category or Sub-Category and click 'Edit'
- switch "Baseline qualitative metrics" to On if it is not already on
- set the baseline metrics
- click Save.
Category vs. Sub-Category baselines
As noted above, baselines can be set at the Category or Sub-Category level. If baselines are set at both levels and a Sub-Category is selected on matter creation, the Sub-Category baselines will prevail over the Category baselines.
What happens if the Category or Sub-Category is changed after matter creation?
If a user changes the Category or Sub-Category of a matter after matter creation and the resultant Category or Sub-Category has baseline metrics, the user will see a pop up asking them whether they wish to apply the baselines of that Category or Sub-Category or not
After baselines have been applied to a matter, can they be changed?
Yes! Baseline metrics are exactly that - baselines - and can be changed by a user making adjustments to a matter they have been applied to at any time.
Baseline metrics will also be overridden by any metrics specified in a Legal Intake Request or by a matter template.
