Introducing purge documents and other goodies.
The Xakia team are at it again with a jam-packed update that includes a bunch of enhancements to custom fields in the matter form, bulk spend upload, legal intake email notification and more.

🚀 NEW: Purge documents
We're excited to share a new feature for legal intake - purging of documents on legal requests. See below for more details.
1. Purge documents on rejected legal intake requests
You can permanently delete documents on rejected legal requests. This is currently set to 7 days of the request rejection. Learn more about purging documents here.
2. Purge documents not pushed to DMS
When documents are received via legal intake and it has not been pushed to your Document Management System (eg iManage, NetDocuments or SharePoint), you can now permanently delete these documents from Xakia. This is currently set to 30 days. Learn more about purging documents here.
3. Notification of the purging of documents
When the purging of documents is toggled on, a notification can be sent advising that legal intake documents will be permanently removed. This notification is sent 3 days before the scheduled removal of documents.
🚀 NEW: Purge legal requests after rejection
You have the option to purge requests after rejection. Legal requests will be permanently deleted within 7 days of the request rejection. Data from these requests will not be included in your dashboards or reports. Learn how to purge requests after rejection here.

1. Increased custom fields on a matter form
Hooray! We have increased the number of custom fields allowed on a core matter form from 15 to 25.
2. ‘Email Notification Sent’ events added to the audit log
For confirmation that notifications have been sent, you can see all email notifications relating to a matter in the matters audit log. The audit event will capture:
- Email address that the email was sent to
- The notification type
- Date and time that the notification was sent
3. Bulk spend upload
Expenses uploaded in bulk using the ‘upload costs in bulk’ functionality in the Admin area now provide expense detail, similar to if you had entered each invoice individually. Details include professional fees, disbursements, tax and adjustments.
4. Ironclad-Xakia mapping of sub-category
The Matter sub-category field is now mapped and can now be populated from Ironclad to Xakia.
🌟 Improvement: Legal intake email notifications
To help users to be able to quickly review new legal intake requests, we’ve added the request name to the subject line.
