The Contract Record — Updated Layout

The Contract Record has been refreshed to make it easier to scan, edit, and work with end-to-end. Document, description and metadata sit in clear panels at the top, and detail sections like Value, Lifecycle, Parties and Key Terms expand inline so you can drill in without leaving the page. This article walks through the new layout and what each part does.

What's new

  • New + New Contract icon in the global navigation bar — start a new contract from anywhere in Xakia in a single click.

  • Cleaner three-panel header layout — Document, Description and Metadata are presented side by side at the top of the record.

  • Expandable detail rows — Value, Lifecycle, Parties and Key Terms each expand inline so you can review or edit without navigating away.

  • AI design conventions — AI-powered features are now visually distinguished by a coloured gradient border and a sparkle (✨) icon, so it is always clear when AI is involved.

  • AI-populated field highlights — fields populated by Xakia's AI are marked with an amber border, prompting verification before you save.

Navigate to the Contract Record

Open the Contracts module from the top navigation, then click the arrow on any contract row in the All Contracts list to open its record.

To create a new contract, click the + New Contract icon in the top-right of the global navigation bar (available from anywhere in Xakia), or click + New Contract at the top of the All Contracts list.

Header actions

The top of every contract record now shows the contract number, name and status badge, with quick actions on the right:

  • Matter Links — view or manage links between this contract and one or more matters.

  • Contract Summary — open the AI Contract Summary modal to review or re-apply AI-extracted values.

  • Edit — open the contract for editing.

Document panel

The Document panel sits on the left of the record header and shows the linked contract document — file name, version, last modified date, and page count — with a thumbnail preview. From here you can:

  • Version History — view and restore prior versions of the document.

  • Edit — replace or update the linked file.

  • Add Document — attach an additional file (for example, a side letter or signed copy).

Description

The Description section sits in the centre of the header. It accepts rich text — bold, italic, strikethrough, lists and links — so you can capture the context, purpose and any internal notes about the contract in one place.

Tip: If you used AI Contract Extract and Summary at intake, the description will be pre-populated with the AI-generated summary of the contract. Review and edit it before saving — the field is highlighted with an amber border to remind you to verify.

Metadata panel

The Metadata panel sits on the right of the header and surfaces the most-used contract attributes. The standard fields include:

  • Status — for example, Scoping, Awaiting Execution, Live, Ended.

  • Confidential — Yes / No toggle.

  • Contract Owners — one or more owners; defaults to the user creating the record.

  • Contract Type — e.g. NDA, Asset Transaction, Labor Hire.

  • Division — the business unit or division the contract belongs to.

  • Groups — used for visibility / permissioning.

  • Our Paper — whether the contract is on your paper or the counterparty's.

  • Importance — your internal importance rating.

  • Hashtags — free-text tags for filtering and reporting.

Expandable detail sections

Below the header, the record is organised into expandable detail rows. Each row shows a summary in its header and expands inline when the icon or section label is clicked, with an Edit link to switch into edit mode for that section without leaving the page.

Value

  • Total Value — the total contract value.

  • Annual Value — the annualised contract value.

Lifecycle

  • Execution Date — when the contract was signed.

  • Start Date — when the contract takes effect.

  • End Date — when the contract ends.

  • End Date Action — what happens at end of term: Expire or Auto-renew.

  • Renewal Period and # of Renewals — applicable if Auto-renew is selected.

  • Lifecycle Events — add reminders and key dates with + Add Lifecycle Event.

Parties

Add the parties to the contract — your organisation, the counterparty, and any additional signatories. The header shows the count of parties currently linked to the record.

Key Terms

Capture the legal Key Terms that matter for this contract — for example, Governing Law, Jurisdiction, Payment Terms, and any other terms your team tracks. Each Key Term row shows the value in the header and expands to reveal the source clause and any supporting context. Click + Add Key Term to add a new term manually.

Visual conventions for AI

The refreshed layout introduces two visual conventions to make AI involvement clear at a glance:

  • Coloured gradient border + sparkle (✨) — applied to buttons and controls that trigger AI features (for example, the Analyze button on the new contract form).

  • Amber field border — applied to fields that have been populated by AI, prompting you to verify the value against the source document before saving.

Note: AI can make mistakes. Whenever you see the amber border, take a moment to verify the value before saving the record.

Working with the new layout

The new layout is functionally compatible with everything you already do in Xakia — there are no changes to permissions, approval workflows, lifecycle reminders, key terms, reporting, or matter links. You should find the same information in roughly the same place, just easier to scan and quicker to edit.
