AI Contract Extract and Summary

Speed up contract intake by letting Xakia's AI read your contract document and pre-populate the contract record for you. Upload the file, click Analyze, then review the extracted details before saving — Xakia handles the heavy lifting so you can spend your time on the parts that need a human eye.

How it works

When you upload a contract document into a new contract record, you can ask Xakia's AI to read the document and extract key information from it. The AI returns a set of suggested values across three main areas — Contract Details, Lifecycle and Key Terms — along with a confidence score, the section of the document the value was taken from, and the verbatim text it relied on. You can review, edit, accept or reject each suggestion individually before applying them to the contract record.

The AI never saves anything to your contract record automatically. Nothing is committed until you click Apply, and any field you have unchecked is excluded. Fields populated by AI are clearly highlighted on the contract form so you know exactly what to verify before saving.

Note: AI can make mistakes. Always verify the extracted values against the source document before saving the contract record. This is reinforced by a disclaimer in the AI Contract Summary modal itself.

Prerequisites

  • Contract document — a .pdf, .doc or .docx file up to 200 MB.

  • Permissions — the same permissions you need to create a new contract record.

  • Subscription — AI Powered features are included in Enterprise subscription. Available as an AI Access add-on for other Subscriptions. Opt-in required to enable AI features. Speak with your Customer Success Manager to learn more.


Navigate to AI Contract Extract and Summary

From anywhere in Xakia, click the + New Contract icon in the top-right of the global navigation bar. This opens the Create New Contract form directly.

You can also start a new contract from the Contracts module by clicking + New Contract at the top right of the All Contracts list.

Step 1: Upload your contract document

On the new contract form, the Document panel sits on the left. You can:

  • Drop a file into the upload area, or

  • Click Upload to browse and select a file from your computer, or

  • Click Link a file to attach a file already stored in Xakia.

Accepted file types are .pdf, .doc and .docx, up to 200 MB.

Tip: When you upload a file, the contract name field is automatically pre-populated with the filename. You can leave it as is, edit it manually, or let the AI replace it with a value extracted from the document in the next step.

Step 2: Click Analyze to run the AI

With the document in place, click the Analyze button. You can recognise AI-powered features in Xakia by the coloured gradient border and the sparkle icon () next to the label.

Xakia opens the AI Contract Summary modal and begins analysing the document. A progress spinner is shown while the AI reads the file.

Step 3: Review the extracted details

Once the analysis is complete, the AI Contract Summary modal shows the extracted fields, grouped into the following categories:

  • Contract Details — for example, Contract Name, Contract Type, Status and Summary.

  • Lifecycle — for example, Execution Date, Start Date, End Date and End Date Action.

  • Key Terms — for example, Governing Law and any other key terms the AI has identified.

The fields available depend on the contents of the document — the AI will only suggest values for fields it can find evidence for in the file.

Each extracted field is presented as a card containing:

  • A confidence score — shown as a percentage. Green badges indicate high confidence (typically 95–100%) and amber badges indicate lower confidence (around 80% or below).

  • The extracted value — the AI's suggested value for the field.

  • A section reference — where in the document the value was found (e.g. "Header", "Clause 8", "Signature block").

  • A verbatim extract — the exact text from the document that supports the suggested value.

At the bottom of the modal, Xakia shows the time taken, tokens used and the cost of the analysis, so you can keep an eye on AI usage.

Step 4: Edit, accept or exclude individual fields

You stay in full control of what gets applied to the contract record. For each field card you can:

  • Expand the card — click the chevron to see the section reference and verbatim extract for that field.

  • Edit the value — click the pencil icon to inline-edit the AI's suggested value before applying it.

  • Exclude the field — uncheck the tick to remove the field from the apply set. The selected counter at the foot of the modal updates to reflect your selections (for example, "7 of 9 fields selected").

Use this to confirm anything the AI flagged with lower confidence, correct any wording that doesn't match your house style, and drop fields that aren't relevant to your record.

Step 5: Apply the extracted data

When you are happy with the selections, click Apply. The modal closes and the contract form is populated with the values you selected.

AI-populated fields are highlighted with a coloured (amber) border so they are easy to spot for verification. After Apply runs, a Results button is also added next to the Analyze button — click this at any time to reopen the AI Contract Summary modal and review or re-apply the extracted data.

Step 6: Review, complete and save

Before saving, run your eye over the populated record:

  1. Verify each AI-highlighted field against the source document.

  2. Complete any remaining fields that the AI did not populate (e.g. Contract Owners, Hashtags, Our Paper, Importance, Confidential, Parties).

  3. Add any additional Key Terms or Lifecycle Events that aren't yet captured.

  4. Click Save to create the contract record.


Result

Your contract record is created with all of the AI-extracted values you accepted, plus any manual edits you made. The record behaves exactly like any other contract in Xakia — you can edit it, link it to matters, route it through approval workflows, and track lifecycle events from there.

Limitations

  • Document-dependent — the AI can only extract values that are present in the document. A short or unusual contract may produce fewer suggestions.

  • Verification required — AI suggestions are a starting point, not a substitute for review. Always verify against the source document, particularly any field with a lower confidence score.

  • Supported file types — .pdf, .doc and .docx only, up to 200 MB.
