The AI Syntax Assistant lets you search your Xakia location using plain English, without needing to know boolean operators or search syntax. Describe what you are looking for in your own words, and Xakia will automatically build a precise search query on your behalf. The full query is always visible and available for you to review, refine, and save — there is no hidden searching.
Prerequisites
The AI Syntax Assistant is available to subscribers with AI Access. If your organisation does not have AI Access, the AI icon will not appear in the search bar.
How it works
When you type a plain-English description into the AI Assistant panel, Xakia translates it into a full boolean search query — combining operators such as OR, AND, wildcards, and phrase matching to capture the most relevant results. The generated query is applied to the search bar immediately.
By default, results are shown in Simplified View, which hides the complexity of the AI-generated syntax so results are easy to scan. You can toggle Simplified View off at any time to reveal the full query, edit it manually, and save it as a Saved Search for repeatable use.
Note: The AI Syntax Assistant generates search queries based on your description. Review the generated syntax and refine it as needed to ensure results match your intent.
Navigate to the AI Syntax Assistant
Global search is accessible from the search bar at the top of any page in your Xakia location. Click the AI icon (✶) to the right of the search bar to open the AI Assistant panel.
Step 1: Describe your search in plain English
In the AI Assistant panel, type a plain-English description of what you are looking for into the text field at the bottom of the panel. Be as specific as you like — you can include context such as the type of content, relevant topics, or timeframes.
Example: "Can you find any Contracts that contain clauses around Cyber Security incidents that we have signed in the last 12 months"
Press Enter or click the send button to submit your request.
Step 2: Review your results
The AI interprets your description and applies a search query automatically. Results appear in the main search area, and the search bar updates to reflect what is being searched.
By default, results are shown in Simplified View. This displays a readable summary of the search intent (for example, "Which signed contracts mention cyber security incidents?") rather than the raw boolean syntax, making results easier to scan.
Step 3: View or refine the full search syntax
To reveal the AI-generated boolean query, toggle Simplified View off using the button in the bottom left corner of the search results page.
The search bar updates to show the full syntax, for example:
(cyber securit* OR cybersecurit* OR cybersecurity OR "cyber incident*" OR "security incident*" OR breach* OR incident*)
You can edit this query directly in the search bar to narrow or broaden results. Refer to the Global Search: Syntax & Features Guide for guidance on operators, wildcards, and proximity search.
Once you are satisfied with the query, click the Save icon in the search bar to save it as a Saved Search for repeatable use.
Result
Your search results update immediately. Matching documents, contracts, and matters are displayed with relevant search terms highlighted. The AI-generated syntax is always visible and editable — toggle Simplified View on or off at any time depending on how much detail you need.
Limitation
The AI Syntax Assistant generates search terms based on your plain-English description but does not automatically apply date or field filters. For example, a request mentioning "the last 12 months" will influence the keywords generated, but will not filter results by date. Use the Filters panel to apply date ranges or other field-level filters after running your AI-assisted search.
