You don’t need to choose tools yourself. Ask your question in plain English and your AI application picks the right ones.
Each tool reads 1 type of Xakia information, and the AI often combines several to answer a single question. For example, it might search for a matter, open its details, then check its key dates. Every tool works within 1 Xakia location and only returns information you can already see in Xakia.
Available tools
Tool | What it does |

| Searches across matters, contracts, key dates, documents and tasks. |
| Lists and filters matters by status, your own matters, follow-up, creation date, matter manager, team member or external firm. |
| Returns a matter’s status, dates, team, external resources, parties, entities and linked contracts. |
| Lists the documents attached to a matter. |
| Lists the notes on a matter, pinned notes first. |
| Lists matter tasks, filtered by who’s responsible, your own tasks, matter, status or due date. |
| Lists the contracts linked to a matter. |
| Returns a contract’s status, type, lifecycle dates, governing law, owners, parties and linked matters. |
| Lists expiry, renewal, notice and other lifecycle dates across all contracts, with or without a linked matter. |
| Lists upcoming and overdue key dates, filtered by matter, person or date range. |
| Lists your location’s Playbooks. |
| Returns a Playbook’s sections and clauses, with Must Have, Want and Will Accept positions. |
| Lists your Custom Logs (user-defined logs), such as a conflicts register. |
| Lists the entries in a Custom Log. |
| Returns all field values for one Custom Log entry. |
| Searches inside matter and contract documents and returns matching documents with short excerpts. |
| Returns the text of one document, a page at a time for long documents. |
Document tools only work with Xakia DMS and document content search turned on, and can only read documents that have been processed. A newly uploaded document may not appear straight away.
Common use cases

Workload review | “List my open matters that need follow-up, sorted by oldest first.” |
Task check | “What open tasks am I responsible for this week?” |
Matter notes | “Summarize the notes on matter 1042, starting with the pinned ones.” |
Contract renewals | “Which contracts expire, renew or need notice in the next 90 days?” |
Contract review against your Playbook | “Using our standard NDA Playbook, review the attached draft and flag anything below our Will Accept position.” |

Document Q&A | “Open the latest MSA on matter 87 and tell me the termination notice period and governing law.” |
AI-generated answers can contain errors. Ask which matter, contract or document an answer came from, and verify important information in Xakia before you rely on it, particularly dates, values and contractual positions.
Tips for better results
Include matter or contract numbers, names, date ranges or statuses where you can.
If you belong to several locations, say which one at the start of the conversation.
All tools are read-only, so none can create, change or delete anything. Your AI application can draft updates for you, but you’ll need to enter them in Xakia yourself.
